Scrumbase is a directory that helps rugby coaches at member clubs find each other for fixtures. This page explains what information it holds, who can see it, and how to have yours removed.
What's collected
When you sign up, Scrumbase stores your name, mobile number, email address, club, role, the age groups and genders you coach, and details about your home ground (address, parking, facilities). If you post a fixture date, that date and any note you add is stored too. Nothing else is collected about you beyond what you type into the sign-up or edit forms.
Who can see it
The directory is only visible to other signed-in coaches from clubs in this group - it isn't public on the internet and isn't indexed by search engines. You can choose to hide your email or phone number from other coaches in your own "Edit my profile" panel; if you do, coaches can still reach you through a "Contact coach" message that's relayed without revealing your address to them directly.
If another coach proposes to arrange one of your posted fixtures, their name, club, and message are shown to you so you can decide whether to accept - and if you accept, your own contact details (unless hidden) are shared with them so you can sort out the details.
The site's administrator can see all listing and fixture data, in order to fix problems, answer questions, and keep the directory accurate.
Where it's stored, and who else touches it
Data is stored on Cloudflare's infrastructure. A few other services are used to make specific features work, and each only sees the minimum needed for that purpose:
- Resend - sends sign-in links and notification emails, so it processes your email address when a message is sent to you.
- OpenRouteService - calculates drive times between clubs, so it processes venue addresses (not personal details) to work out distances.
None of your information is sold, used for advertising, or shared with anyone outside of running the directory itself.
How long it's kept
A sign-up that isn't confirmed by email expires automatically after 7 days. Sign-in links work for 15 minutes, and a signed-in session lasts 30 days before you'd need to sign in again. A record of sign-ins is kept for 90 days for troubleshooting. Your listing itself is kept until you remove it or ask for it to be removed - it doesn't expire on its own.
How to get your data removed
You're in control of this at any time: open "Edit my profile" and use "Remove my listing" at the bottom - this deletes your listing and any posted fixture availability immediately, with no need to ask anyone. If you'd rather have it done for you, or you're unable to sign in, use the "Contact us" button on the site and ask - it'll be actioned promptly.
Terms of use
This directory is for coaches and club contacts within this specific group only. Please don't share listing details - names, numbers, addresses - outside of it. Keep your own sign-in link private, since anyone with it could access your listing while it's valid.
Scrumbase is run as a volunteer project and provided as-is, without guarantee of uptime or accuracy. It's still in beta - if something looks wrong or you spot a bug, the "Contact us" button is the quickest way to flag it.
